How to scope an AI support agent without guessing the savings
Choose approved knowledge sources, define human handoff rules, and evaluate an AI support pilot against your actual customer questions.
An AI support agent is most useful when its job is clearly defined. Before promising a reduction in support costs, understand which questions are repetitive, which answers are approved, and which cases require a person.
The right pilot uses your actual support workload and measures the result. It does not begin with a universal automation percentage.
Identify the repetitive questions
Review a representative set of recent customer conversations. Group the recurring questions and identify the information needed to answer each one.
Good candidates may include documented onboarding steps, product instructions, and basic policy questions. Account-specific decisions, refunds, sensitive information, and ambiguous requests need explicit boundaries.
Approve the knowledge sources
An agent should answer from material your team has reviewed. Inventory the relevant documentation, remove stale instructions, and identify who owns updates.
A well-written source is only one part of the system. Test whether the agent finds the right information, follows the approved tone, and admits when the material does not answer the question.
Design the handoff
Write down when a conversation goes to a person. This could happen because the user asks for help, the question falls outside scope, or a policy requires approval.
The handoff needs a destination and useful context. Passing a conversation to a person is more helpful when the original question and attempted answer arrive together.
Measure the pilot
Compare a sample of agent responses with answers approved by the support team. Track correct responses, unsupported answers, escalations, and the time required to review the output.

Agree on the ongoing work
